Job Description Summary

This role acts as operational day-to-day point person and provides support to the Legal, Regulatory and Compliance (LRC) Department by executing processes, projects, and coordinating cross functionally. The role will use discretion and diplomacy while collaborating with stakeholders across the LRC departments and companies. Utilize mastery of time management, logistics planning, organization and attention to detail will ensure flawless execution of multiple priorities ranging from budgetary oversite to event coordination.

Job Description

  • Lead the day-to-day LRC office operations enabling the team to focus on strategic, business-focused matters.
  • Oversee and optimize the Legal department’s matter management and e-billing software system (Legal Tracker) and related processes.
  • Supports LRC’s annual operating process (AOP) for budget recommendations and ensure coordination with all LRC leadership team for alignment for timely submission to the Finance team for approval.
  • Ensure LRC’s global operating budgets are accurate and timely submitted
  • Act as a point of contact with Finance for monthly forecasts and tracking in coordination with other departments within LRC.
  • Lead outside counsel engagement processes globally, including alternative fee arrangements and maintenance, and enforcement of billing guidelines.
  • Identifies gaps in department processes and works cross functionally to resolve or fill.
  • Creates purchase orders (PO’s) and invoice payments, ensuring accuracy and compliance with company policies.
  • Setting up new suppliers for Legal, Global Security and Government Affairs
  • Learn and develop expertise in legal technologies to become the key point of contact (i.e., matter management, electronic billing, contract and records management, etc.), driving continuous improvement and innovation.
  • Organize and manage high-level departmental meetings, events, and activities to bring together geographically dispersed teams, managing logistics, ensuring alignment with departmental goals and documenting follow-up activities.
  • Arrange global, multi-city travel plans, manage travel and expense reporting process for LRC.
  • Coordinate meeting logistics and manage expense reimbursements for members of the Board of Directors.
  • Perform other administrative duties and special projects as assigned.

KNOWLEDGE, SKILLS and ABILITIES (KSA's):

  • Proficiency in Microsoft Office Suite and other software programs and databases to prepare high quality correspondence, reports, and presentations.
  • Self-directed critical thinker with an ability to organize, plan, and prioritize and capable of adapting and responding to changing situations. Works well under pressure.
  • Systems savvy with ability to learn new systems and processes to become department go-to
  • Experience with financial planning, analysis, and budgeting processes.
  • Excellent administrative, document preparation, and proofreading skills.
  • Strong analytical and problem-solving skills with superior attention to detail.
  • Ability to multitask while driving continuous operational improvements.
  • Effective at managing upward to executive management and fostering successful relationships through direct interaction with peers and others.
  • Exceptional communication and interpersonal skills and an ability to interact well at all organizational levels and collaborate with a team.
  • Required to be discreet and maintain confidentiality.

EXPERIENCE:

  • Minimum: Bachelor’s degree with 4 years' experience in office administration, and/or related area.
  • Preferred level: 3 to 5 years of experience (depending on degreed status) in-house legal department and/or finance.

This compensation is specific to this position and takes into account a number of variables. Actual compensation may be higher or lower in the range posted based on various factors, including, but not limited to, job duties, experience and expertise. A candidate’s work location could also impact the actual compensation being outside of the range to reflect local cost of labor. A reasonable annual estimate of the range for this role based on the variables previously mentioned is: $57,430.00 - $86,140.00
